Responsibilities: The administrative assistant will perform a wide range of administrative and office support activities for the service department to facilitate the efficient operation of the department.
•Build and maintain productive relationships with the manufacturers designated warranty representatives with which the dealership conducts business.
•Review warranty repair orders for proper completion, accuracy and legibility to ensure compliance with policies and procedures.
•Verify each repair order against the vehicle service history to avoid making duplicate claims.
•Review all returned and /or rejected warranty claims and prepare the repair orders for immediate resubmission.
•Contact the appropriate warranty claim representative regarding any claims requiring special authorization.
•Maintain a record of all claims submitted, returned/rejected or paid and their current status.
•Work with Service Manager for timely turnaround of needed parts •Create and maintain detailed workflows and reporting procedures for this position.
•Be detail oriented, team player, flexible and focused on maintaining a high level of customer service.
